EMAIL DELIVERABILITY

Why Email Warm-Up Is Non-Negotiable for Business Acquisition Outreach

20 March 2026 · 6 min read

You've spent hours building a perfect target list. You've written a compelling outreach email. You hit send, and 80% of your emails go straight to spam. This is what happens when you skip email warm-up. Here's why it matters and how to do it properly.

What is email warm-up? Email warm-up is the process of gradually building a sending reputation for a new email domain before using it for real outreach. Email providers (Gmail, Outlook, etc.) track the behaviour of every domain that sends emails. A brand new domain with no history that suddenly sends 200 emails a day looks exactly like a spammer. Warm-up works by sending a small number of emails per day, starting on day 1, and gradually increasing volume over 2–4 weeks. The emails are sent between real inboxes, are opened and replied to, and signal to ESPs (Email Service Providers) that your domain is legitimate.

What happens if you skip it? Your emails land in spam. Your domain reputation score drops. Gmail and Outlook start pre-filtering your sends. In severe cases your domain gets blacklisted, meaning even emails to people who want to hear from you get blocked. Once you've damaged your domain reputation it's very hard to recover. Prevention is everything.

The warm-up timeline Days 1–3: 5–10 emails per day Days 4–7: 10–20 emails per day Week 2: 20–40 emails per day Week 3+: 40–100 emails per day, ready for live outreach. The emails should be opened and some should receive replies. This engagement signals to ESPs that recipients want your emails.

What you need before starting 1. A professional business domain (yourcompany.co.uk or .com, not Gmail or Outlook) 2. SPF record configured in your DNS 3. DKIM record configured in your DNS 4. DMARC record configured in your DNS 5. An email sending account (Google Workspace recommended) These three DNS records prove to receiving email servers that your domain is authorised to send email. Without them, even a warmed-up domain will struggle.

Checking your email health After setting up your DNS records, check them at mxtoolbox.com – it will show green ticks for SPF, DKIM, and DMARC if everything is configured correctly.
